Our Privacy Policy and Cookie Policy, in one place. Use the tabs below to switch between them.
Who we are
Burntwood Rotary Club (District 1210, Club No. 1643, Registered Charity No. 1032527) operates this website and is the data controller for any personal data collected through it. This policy explains what personal data we collect when you use our site, how we use it, and your rights over that data.
What we collect
When you fill in a form on this site (for example on our Contact, Join Us, or Schools & Community pages) we collect the details you provide, which may include your name, email address, phone number, and any message you send us.
How we use it
We use this information only to respond to your enquiry, arrange a visit or meeting, or follow up on a membership or volunteering interest. We do not sell or share your details with third parties for marketing purposes.
Our legal basis
We use your details because you have asked us to get in touch, or because it is in our legitimate interest as a community club to respond to enquiries about membership, volunteering, events and support. We will only send you news or updates if you have asked us to.
Where it's stored
When you send us a form, the details are emailed to club administrators, and you receive a confirmation email. We keep enquiry details only as long as needed to deal with your enquiry, after which they are deleted.
Santa Float tracker
When our volunteers post a live update from the Santa Float, we store their short message, the name of the stop and the time. If a volunteer taps "Use my location", their phone's location is used on their own device to suggest the nearest stop and is not sent to us or stored. We do not track the location of anyone visiting the website.
Donations
Donations by text are handled by the text-giving service, and any online donation or fundraising services we add in future (such as JustGiving or easyfundraising) will handle those. We never see or store your card details. Those services have their own privacy policies, which explain how they use your information.
Your rights
Under UK data protection law, you have the right to ask what personal data we hold about you, to have it corrected, or to have it deleted. To make a request, or if you have any questions about this policy, please contact us using the details on our Contact page. If you are unhappy with how we have handled your data, you can also complain to the Information Commissioner's Office at ico.org.uk.
Changes to this policy
We may update this policy from time to time, for example if we add new features to the website. The latest version will always be on this page. Last updated: October 2026.
